All reservations are accepted on a first come, first served basis and are considered confirmed when full payment is made. Tour rates include taxes, transportation, accommodation (if applicable), sightseeing and attractions as noted and luggage gratuity where service is available (and applicable). You will be responsible for your meals unless noted in the brochure, personal expenses and additional sightseeing. Smoking or drinking alcoholic beverages on the motorcoach is not allowed. All tours have a tour director to make your tour more pleasant.
CURRENCY: All prices are shown in Canadian dollars.
PAYMENT: Cardinal Coach Tours will accept payment in the form of cheque, cash, VISA or MasterCard. Cheques must be made payable to Cardinal Coach Tours. You will be informed immediately if your credit card is declined and payment will be considered not received. Verbal authorization of use of your credit card commits you to your reservation whether you have signed a credit card draft or not. Refunds will be done in a timely manner. Receipt of payment indicates acceptance of and agreed compliance with our terms and conditions.
INSURANCE: You should not travel outside of Ontario without adequate medical and cancellation insurance. We suggest that you purchase our comprehensive insurance provided by travel insurance coordinators, at the time of booking. For more complete details please contact our office. Out-of-province/country travel insurance may also be purchased by individuals not travelling on a tour.
DEPOSITS AND PAYMENTS: Reservations are limited, so please book early to avoid disappointment.
Day tours are non-refundable. Full payment is due when booking. For day tours only, Cardinal Coach Tours offers a $5 cancellation waiver (non-refundable and non-transferable) for medical reasons only and require a doctors note. Should you purchase the waiver and need to cancel, a credit note will be issued with no expiration date. Monies will be refunded only at the discretion of Cardinal Coach Tours.
1) For tours of 5 days or less in duration, a deposit of $100 per person is required within 7 days of booking.
2) For tours of 6 – 14 days in duration, a deposit of $200 per person is required within 7 days of booking.
3) For tours of 15 days and longer or our international tours, the requied deposit will be set on an individual basis.
This deposit is payable along with the premium of your comprehensive insurance to guarantee your reservation. The balance is due 45 days on some tours, and 30 days on some before the departure date . For a booking made 45 days or less prior to departure, full payment is due immediately, Cardinal Coach Tours reserves the right to cancel a reservation if full and final payment is not received 45 days prior to departure. Insurance premiums cannot be refunded once we have received payment with your deposit.
HARMONIZED SALES TAX: Tours outside of Canada are not subject to HST.
CANCELLATION CHARGES: Passengers are requested to notify Cardinal Coach Tours or their travel agent immediately in the event that they must cancel a tour. Cancellation charges depend on the time at which Cardinal Coach Tours receives notice of cancellation from either the customer or your travel agent. 46 or more days prior to departure = loss of deposit, 45 – 30 days prior to departure = 50% of the tour price, 29 days prior to departure = %100 of tour price is non-refundable. All cancellations are subject to a $25 per person administrative fee. If cancellation of one or more passengers occurs, changing the rooming requirements of the remaining passenger(s), those passenger(s) still travelling must pay the applicable rate for the accommodation to be occupied.
TOUR CANCELLATION: In the event that a tour is cancelled, Cardinal Coach Tours will have no responsibilities beyond the refund of all monies paid by the passenger which is deemed to constitute a full and final settlement. Refunds will be credited in the manner in which they were received.
SINGLE TRAVELLERS: Passengers with no travelling companion but wishing to share accommodation, may book on a willing to share basis. Cardinal Coach Tours will attempt to find a suitable partner. However, if a travelling companion cannot be found, the single rate will apply.
PASSENGERS WITH DISABILITIES: Persons requiring special care and/or assistance must notify our office of their particular needs at the time of booking. Passengers who cannot travel independently or require special assistance must be accompanied by a companion to care for their needs.
ACCOMMODATIONS: Single room – one bed, twin (2 persons sharing one room) – one double or two single beds. Please specify at time of booking if you wish two separate beds, triple (3 persons sharing one room)- two double beds or one double and one single (single bed may be a rollaway), quad (4 persons sharing one room) – two double beds. Keep in mind that triple and quad rooms have one private bathroom.
Special requests made by yourself or your travel agent on your behalf for particular rooms, room location, bed types and services other than those published in the brochure are not guaranteed and are at the discretion of the hotelier or contractor. Due to increasingly high motel/hotel occupancies, we can no longer change accommodation categories after tour departure.
SEATING: There are no reserved seats on the coach other than for mobility or health issues.
TIME AND PLACE OF DEPARTURE: These will be determined for each individual multi-day tour 20 days prior to departure. Luggage tags and related tour information will be mailed at this time. Designated pick-up locations and times will remain unchanged for bookings within 30 days of departure.
PROOF OF CITIZENSHIP: Canadian Citizens require a valid passport for tours to the United States. Residents of Canada who are not citizens of Canada require a valid permanent resident card for re-entry into Canada. Without this identification, Cardinal Coach Tours will not be permitted to transport you from the border crossing. It will be your responsibility to obtain and complete the necessary documents and then return home on your own. Citizens of other countries should check with their travel agent or our office for requirements for entry into the Unites States. Cardinal Coach Tours will not be responsible for passengers denied access to the United States or re-entry into Canada.
BAGGAGE: On motorcoach tours, one large suitcase per person is allowed and is transferred by hotel porterage where service is available. All hand luggage must be carried personally aboard the motorcoach. Although every effort is made to handle all luggage as carefully as possible, Cardinal Coach Tours cannot assume liability for loss, theft or damage due to breakage, water, etc.
Prices advertised in this brochure are correct at the time of printing and are based on fixed costs. These costs are dependent on fuel costs, exchange rates and other factors. Should these costs increase, Cardinal Coach Tours reserves the right to increase the price. Should the price increase be greater than 5% the customer has the right to cancel the contract for travel service and obtain a full refund of amounts paid to Cardinal Coach Tours, unless the price increase is the result of government taxation. Every effort will be made to advise the consumer and/or your travel agent of any increase at least 15 days prior to your holiday departure date.
We reserve the right to make time or itinerary changes, if necessary. Coaches chartered for Cardinal Coach Tours are fully licensed and insured throughout Canada and the Unites States.
Your tour director and driver are there to ensure that you enjoy the time spent with us and do not encounter any inconveniences. Some situations may, however, be beyond their control. They will do their best to rectify any problems as quickly as possible.
No refunds or adjustments will be made for portions of the trip or attendant services not taken or used. If you have a problem with the services provided while on tour, inform your tour director or hotel immediately. They will do their best to correct the problem. Please do not wait until you return home to do something about it.
Cardinal Coach Tours reserves the right to reject any person as a member of the tour at any time, if the tour director decides his/her conduct is detrimental to the interest, comfort, well-being and enjoyment of other members of the tour. A refund of the unfinished portion of the tour will be made and deemed a full and final settlement.
Cardinal Coach Tours acts only in the capacity of an agent in arranging transportation, accommodations, additional side tours and attractions, including meals, and are not responsible for any loss, damage or injury due to an act or default of any company engaged in providing service included in out tours. If our office is advised of a significant change which may effect your enjoyment, every effort will be made to inform you in advance.
When meals are included in the tour price, gratuities are also included. When purchasing meals not included in the tour price remember that a small gratuity is generally in order to show our appreciation of the service you receive.
A gratuity for the driver and tour director should be given individually and based on the level of service received.
Payment in any form to Cardinal Coach Tours will represent an acceptance by the client of all aforementioned conditions.
TRAVEL INSURANCE: Cardinal Coach Tours is an agent for Manulife Travel Insurance. Call for details on cancellation and medical insurance for both day and multi-day tours. Seniors, groups, individuals and student international rates available.
ALLERGY ALERT: For the comfort of all our passengers, we ask you to be considerate of those individuals who suffer an intolerance to strong scents such as perfume and after shave.
GRATUITIES: Tips to restaurant servers, step-on-guides, tour directors and coach drivers is an expression of appreciation for good service. Although tipping is customary, it is also voluntary and is not included in the cost of the tour. The following is intended as a guide only to assist in determining the gratuity amount.
Tour directors and drivers: $2 - $4 per person per day. Restaurant servers: %15 of the bill for any meals not included in the tour cost would be standard practice.
PHOTOGRAPHY: Cardinal Coach Tours reserves the right to use photography for promotional purposes.
